ZTD - Zen To Done (for beginners)

In the last article, we got closer the GTD method, for which it is necessary to observe systematicity. But what if regularity and willpower aren't your strengths? The solution is simple, and that is a similar method called ZTD, the so-called Zen To Done.

ZTD shows you how to develop the habits you need to succeed with a multi-step productivity system. The method, much promoted by Lee Babauta, is explained in his book Zen to Done and explains in it that "it's about the habits and the work, not the system or the tools".

How to do it

The goal is to build individual habits step by step and learn to improve your productivity. Start gradually and devote, for example, 30 days to each point. During that time, you instill a single habit under your skin. In just four months, you will form all the basic habits you need. You'll stay on top of your to-do list and get more done.

Basic habits

  1. Collect = absolute collection of thoughts
    • carry a small notepad (or any other tool that works for you)
    • write down all the tasks, ideas, projects and other information that comes to mind
    • get everything out of your head and onto paper so you don't forget them
    • it's the same as GTD. But ZTD requires you to choose a simple, portable and easy-to-use tool where you will collect matters. You can also use a combination of a notebook and an application. Each evening, you will convert the noted thoughts into tasks and write them down in the app or diary of your choice
  2. Process it
    • process your lists (emails, notes, To-Do) at least once a day
    • make decisions quickly about matters on lists - don't put them off
    • proceed from top to bottom and decide each matter as v GTD = do, throw away, delegate, set up, schedule in tasks or calendar
  3. Plan
    • choose a few high-priority items that you want to accomplish each week and each day
    • every week = note the most important tasks for the upcoming week and schedule them on your calendar
    • every day = make a list of 1-3 tasks and do everything to complete them
    • tackle the most important tasks as soon as possible and be sure to actually do them
  4. Do it
    • this is one of the most important habits of ZTD
    • schedule time to complete selected tasks without interruption
    • you have to choose a task -> focus only on it -> filter out everything else
    • eliminate everything that could distract you = turn off notifications, phone and clean your desk
    • then get to work
    • if something or someone interrupts you, write down the task or information (point 1) and return to the divided work as soon as possible
    • don't multitask

In conclusion

These four basic points will ensure that you have an overview and control over everything. By gradually incorporating habits into your life, you won't be under pressure. At the same time, you will realize what suits you and what you need to work on more.
