Yet it still causes a lot of confusion.<\/p>\n\n\n\n<p>Is the file on my computer or in the cloud? What does the blue cloud mean? If I delete something in File Explorer, will it stay on the web? And what's actually the difference between OneDrive and SharePoint?<\/p>\n\n\n\n<p>The good news is that the basic principle is fairly simple.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">OneDrive is your personal drawer in the cloud<\/h2>\n\n\n\n<p>You can think of OneDrive as <strong>a personal work drawer in the cloud<\/strong>. You mainly store your work-in-progress documents, notes, drafts and other files that for now belong mostly to you.<\/p>\n\n\n\n<p>Files in OneDrive are private by default. Other people can only get to them once you decide to share them.<\/p>\n\n\n\n<p>Typical examples include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>a presentation in progress,<\/li>\n\n\n\n<li>a draft offer for a client,<\/li>\n\n\n\n<li>personal work notes,<\/li>\n\n\n\n<li>an overview of monthly expenses,<\/li>\n\n\n\n<li>a document you're temporarily working on with a few colleagues.<\/li>\n<\/ul>\n\n\n\n<p>But if a document is owned by the whole team in the long term, it should rather be stored in SharePoint.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">OneDrive or SharePoint?<\/h2>\n\n\n\n<p>This is where people often go wrong. OneDrive and SharePoint are closely related, but they aren't meant for the same way of working.<\/p>\n\n\n\n<p>A simple rule of thumb helps:<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p><strong>OneDrive is my work drawer. SharePoint is the shared team binder.<\/strong><\/p>\n<\/blockquote>\n\n\n\n<h3 class=\"wp-block-heading\">Use OneDrive when:<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>it's your work-in-progress document,<\/li>\n\n\n\n<li>you're the main person using the file for now,<\/li>\n\n\n\n<li>you need to temporarily share something with specific people,<\/li>\n\n\n\n<li>you're preparing a draft that will only later become a team document.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Use SharePoint when:<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the document belongs to a team or department in the long term,<\/li>\n\n\n\n<li>it's an official guide, template or policy,<\/li>\n\n\n\n<li>the content should be available to all team members,<\/li>\n\n\n\n<li>you need the document to stay with the company even after its original author changes.<\/li>\n<\/ul>\n\n\n\n<p>Microsoft states that personal work files are stored in OneDrive, while shared files intended for several people belong in SharePoint. Files uploaded to a team space in Microsoft Teams are also stored in SharePoint.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Where to find OneDrive<\/h2>\n\n\n\n<p>You can get to your files in several ways:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>through Microsoft 365 in a web browser,<\/li>\n\n\n\n<li>in Windows via the OneDrive folder in File Explorer,<\/li>\n\n\n\n<li>in the OneDrive mobile app,<\/li>\n\n\n\n<li>directly from Word, Excel and PowerPoint.<\/li>\n<\/ul>\n\n\n\n<p>The advantage is that you're not working with several separate copies. You're working with one file that syncs between the cloud and your devices.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How sync works<\/h2>\n\n\n\n<p>Sync connects the OneDrive folder on your computer with cloud storage.<\/p>\n\n\n\n<p>When you create, rename or edit a file in the OneDrive folder, the change is uploaded to the cloud. If you edit a document on the web, the change then also shows up on your computer.<\/p>\n\n\n\n<p>But this has one important consequence:<\/p>\n\n\n\n<p><strong>When you delete a synced file on your computer, its data is also deleted in the cloud.<\/strong><\/p>\n\n\n\n<p>The OneDrive folder is therefore not a classic backup or an independent copy of your data. It's a synced work environment. You can usually find the details by opening the OneDrive icon in the Windows notification area. If you see this icon on an item you don't want to share, check who has access to it.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Send links, not more copies of attachments<\/h2>\n\n\n\n<p>One of the most practical features of OneDrive is sharing.<\/p>\n\n\n\n<p>Instead of sending a document as an attachment to five people and then dealing with six different versions, you can send a link to a single file.<\/p>\n\n\n\n<p>Before sending, always check:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Who does the link work for?<\/strong><\/li>\n\n\n\n<li><strong>Can the recipient only read the document, or also edit it?<\/strong><\/li>\n\n\n\n<li><strong>Are you sharing the document with specific people, or with a wider group?<\/strong><\/li>\n\n\n\n<li><strong>Does the file contain sensitive data?<\/strong><\/li>\n\n\n\n<li><strong>Does the document still belong in your OneDrive, or should it already be in the team SharePoint?<\/strong><\/li>\n<\/ol>\n\n\n\n<p>The owner can later change or remove access to the file. Some options, such as external sharing, links for anyone or link expiration, may be restricted by your organization's settings.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What to do when you delete or overwrite something<\/h2>\n\n\n\n<p>A document deleted by mistake doesn't have to be lost.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Restoring a file from the recycle bin<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open OneDrive in a web browser.<\/li>\n\n\n\n<li>In the left menu, select <strong>Recycle bin<\/strong>.<\/li>\n\n\n\n<li>Select the file or folder.<\/li>\n\n\n\n<li>Select <strong>Restore<\/strong>.<\/li>\n<\/ol>\n\n\n\n<p>For work and school accounts, Microsoft generally states that items are removed from the recycle bin after 93 days. However, your organization may have settings adjusted by an administrator.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Going back to an older version<\/h3>\n\n\n\n<p>If you didn't delete the file but overwrote its content, use <strong>Version history<\/strong>.<\/p>\n\n\n\n<p>Open the menu for the file, select version history and then view or restore the version you want. That way you don't have to create files with names like:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Offer_final.docx<\/li>\n\n\n\n<li>Offer_final2.docx<\/li>\n\n\n\n<li>Offer_really_final.docx<\/li>\n\n\n\n<li>Offer_really_final_last.docx<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Five rules for working with OneDrive<\/h2>\n\n\n\n<p>If you only take away a few things, stick to these rules:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>Save personal work-in-progress documents to OneDrive.<\/strong><\/li>\n\n\n\n<li><strong>Save team and official documents to SharePoint.<\/strong><\/li>\n\n\n\n<li><strong>Send links instead of more copies of attachments.<\/strong><\/li>\n\n\n\n<li><strong>Always check permissions before sharing.<\/strong><\/li>\n\n\n\n<li><strong>If there's a problem, check the recycle bin and version history first.<\/strong><\/li>\n<\/ol>\n\n\n\n<p>OneDrive isn't a complicated tool.
